Job Description

The Executive Assistant will provide high-level administrative support to the Group Managing Director of the hospital, ensuring seamless operations in a fast-paced healthcare environment.

Responsibilities

  • Calendar Management: Organize and manage the Group MD's schedule, including appointments, meetings, and travel arrangements.
  • Communication: Act as the first point of contact for the Group MD, screening phone calls, emails, and correspondence, and responding on behalf of the MD when necessary.
  • Meeting Coordination: Prepare agendas, take minutes during meetings, and follow up on action items to ensure timely completion.
  • Travel Arrangements: Plan and coordinate travel itineraries for the Group MD, ensuring all travel logistics are efficient and cost-effective.
  • Document Management: Draft and proofread reports, presentations, and other documents as needed by the Group MD.
  • Confidentiality: Handle sensitive information with the utmost discretion, ensuring confidentiality at all times.
  • Project Management: Assist in managing various hospital projects and initiatives led by the Group MD, providing support with coordination and execution.
  • Stakeholder Liaison: Coordinate communication between the Group MD and other senior management, hospital staff, board members, and external stakeholders.
  • Administrative Support: Perform other administrative tasks as needed to support the Group MD's daily activities.

Qualifications

  • Bachelor's degree in business administration, Healthcare Management, or related field.
  • Minimum of 12 to 15 years of experience as an Executive Assistant or in a similar administrative role, preferably in a healthcare setting.
  • Strong organizational and time-management skills, with an ability to prioritize tasks and manage multiple responsibilities.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office (Word, Excel, PowerPoint) and other relevant software.
  • Ability to work independently with minimal supervision, while maintaining a high level of professionalism.
  • Knowledge of healthcare industry experience is preferred.
