Job Description

Provide high-level administrative support to senior management, ensure efficient office operations, and coordinate internal and external activities for smooth business operations.

Responsibilities

  • Manage and prioritize the calendar, appointments, and meetings for senior management.
  • Prepare agendas, presentations, and meeting minutes; follow up on action items.
  • Handle confidential correspondence, emails, and communications on behalf of the management.
  • Coordinate travel arrangements, including flight bookings, hotel reservations, and itineraries.
  • Act as a point of contact between senior management and internal/external stakeholders.
  • Oversee day-to-day office operations, including facility management, vendor coordination, and supplies.
  • Supervise administrative staff and ensure tasks are completed efficiently.
  • Ensure compliance with company policies and maintain organized office documentation.
  • Maintain office budget, track expenses, and generate reports.
  • Coordinate IT, HR, and other support services to address employee requirements.
  • Assist in planning and executing company events, meetings, and initiatives.
  • Support cross-functional teams with administrative and coordination tasks.
  • Maintain records of office expenses, invoices, and contracts.
  • Support audits and compliance reviews with organized documentation.

Qualifications

  • Administrative Expertise: Strong knowledge of office management procedures and executive support practices.
  • Technical Proficiency: Advanced skills in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with office tools and systems.
  • Time Management: Excellent organizational and multitasking skills to handle diverse priorities effectively.
  • Communication: Strong verbal and written communication skills.
  • Problem-Solving: Ability to address operational challenges with creative solutions.
