Job Description

The Sales Back Office Executive plays a crucial role in supporting the sales team by performing various administrative, operational, and pre-sales activities, including market research.

Responsibilities

Key Responsibilities:

  • Screen incoming inquiries and tender documents to assess eligibility criteria for participation.
  • Prepare and compile tender documents, ensuring they meet all requirements and are submitted on time.
  • Prepare Requests for Quotation (RFQs) for bought-out items and manage the procurement process.
  • Collaborate with the sales team to ensure timely and accurate submission of bids and proposals.
  • Scout for new tenders, customers, and business opportunities in the market.
  • Research and analyse market trends, competitors, and potential areas for growth.
  • Identify and develop leads for new sales opportunities.
  • Receive and process incoming orders from customers and sales representatives.
  • Verify order accuracy, pricing, and product availability.
  • Ensure timely order fulfilment and shipment.
  • Enter and update customer and product information in the company's CRM system.
  • Maintain the ERP (Enterprise Resource Planning) system, ensuring it is up to date with accurate and relevant information.
  • Record all sales-related data, transactions, and processes accurately within the ERP system.
  • Maintain accurate records of customer interactions and transactions.
  • Prepare and update sales reports, invoices, and other sales-related documents.
  • Assist in managing inventory and stock levels.
  • Provide excellent customer service by addressing inquiries and resolving customer issues.
  • Coordinate and communicate with various departments, including sales, logistics, and finance, to ensure a smooth sales process.
  • Maintain regular contact with clients to update them on order status.
  • Assist in scheduling appointments, meetings, and maintaining the sales team's calendar.
  • Handle general administrative tasks to support the sales department.

Qualifications

Qualification Criteria:

  • Freshers with strong potential are also welcome to apply or must have greater than 1 to 2 years of relevant experience working in a sales back office.
  • Must have excellent business communication skills (both verbal and written).
  • Must have graduated in Business administration / Engineering / Physics.
  • Preference will be given to candidates with Mechanical Engineering Degree/ Diploma.
  • Experience with GEM portal is preferred.
