Job Description

Solana Insurance Agency is seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to the Principal Officer.

Responsibilities

  • Manage calendars, schedule meetings, and set reminders for important deadlines.
  • Draft, review, and send emails and other correspondence on behalf of the Principal Officer.
  • Take meeting notes and prepare summaries for follow-ups.
  • Organize and maintain important documents, reports, and records.
  • Make phone calls and liaise with clients, vendors, and stakeholders as directed.
  • Follow up on pending matters, ensuring timely responses and task completion.
  • Run essential errands, such as picking up documents, supplies, or handling other logistical needs.
  • Assist with booking travel arrangements, accommodations, and event registrations.
  • Manage office supplies and ensure the workspace remains organized and functional.
  • Handle small personal tasks such as scheduling appointments or placing necessary orders.
  • Oversee office upkeep and coordinate with service providers for maintenance needs.
  • Provide general administrative support as required.

Qualifications

  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office and email handling.
  • Ability to work independently, take initiative, and manage multiple responsibilities.
  • Prior experience in an administrative or executive assistant role is preferred but not mandatory.
