Job Description

We are looking for a detail-oriented Administrative Assistant Receptionist to manage front desk operations, handle administrative tasks, and ensure smooth office operations.

Responsibilities

  • Receive, direct, and relay telephone messages and fax communications.
  • Attend to all guests visiting the office and direct them to the appropriate individual or department.
  • Maintain a clean and organized front desk area, ensuring it is free from clutter.
  • Oversee the general common area, including meeting rooms, to ensure they are tidy and well-equipped.
  • Provide clerical support and perform ad-hoc administrative duties as required.
  • Maintain visitor, vendor, and customer visit registers.
  • Sort and distribute daily incoming mail and courier packages.
  • Manage shipment logistics, including coordinating local and international courier services.
  • Supervise housekeeping activities to ensure a clean and professional office environment.
  • Arrange appropriate courier services for both local and overseas shipments.
  • Maintain an organized filing system and ensure proper documentation of correspondence.
  • Coordinate administrative purchase documents for approval by the Admin Manager.
  • Monitor office stationery inventory, anticipate supply needs, and process orders accordingly.
  • Perform other duties as assigned by management.

Qualifications

  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Proven experience as an administrative assistant, receptionist, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Professional and friendly demeanor.
